Procurement decision resource
Fixed and Loose Furniture Interface Responsibility Checklist
A fixed-versus-loose furniture interface review assigns responsibility at the points where furniture meets walls, floors, services, appliances and site work. It records dimensions, tolerances, connections and approval owners without assuming that furniture procurement includes engineering or installation. The item description alone does not decide whether a cabinet, fitting or connection belongs in a supplier's scope.

Fixed / Loose Furniture Interfaces: Parameters and Named Responsibilities
Use one interface record to join the furniture line, the verified site input and the party responsible for each connection. Separate design, supply, installation and acceptance roles. Unknown substrates or service requirements remain open technical questions; procurement coordination cannot silently resolve them or transfer responsibilities that were never accepted.
| Interface | Verified or missing input | Responsible party to name | Not automatically included or approved |
|---|---|---|---|
| Furniture and location | Item code, intended room and current layout/drawing revision | Designer/specifier and relevant supplier | A product category does not define all site responsibilities |
| Wall/floor/substrate interface | Verified dimensions, substrate information and proposed connection requirements | Appointed technical designer and site party | Do not infer fixing suitability or structural capacity from the furniture model |
| Services and appliances | Connection/access requirements, equipment references and unresolved conflicts | Relevant MEP/appliance trade and design reviewer | Furniture supply does not automatically include service design or commissioning |
| Components and supply boundary | Named supplier for hardware, supports, trims and specialist parts | Procurement/commercial owner and each supplier | Unquoted or excluded work is not zero-cost included work |
| Installation sequence | Site readiness, dependencies, protection and agreed installation scope | Site coordinator and expressly appointed installer | A delivery date is not proof that the interface is ready |
| Acceptance and change | Actual completed scope, exceptions, review references and change authority | Named technical and contractual acceptance parties | Receipt does not waive open work or authorize a substitution |
This matrix is planning guidance, not a structural, electrical, fire or installation design. No fixing detail, load rating, clearance or trade qualification is prescribed. Installation and specialist services belong in the written scope only when expressly assigned, with project-specific review by the responsible professionals.
Project fit
When this service is a fit
- Fixed / Loose Furniture Interfaces: Parameters and Named Responsibilities
- Keep proposed information separate from verified scope and authorized decisions
- Name the evidence and reviewer required to resolve an affected item
- Connect the review to the existing BOQ, sample and delivery source methods
Approach
Fixed and Loose Furniture Interface Responsibility Checklist
Begin with the item's actual function and connection, not only its marketing category. A freestanding cabinet may still need a project-specific restraint decision, while a fitted unit may depend on substrates, services or finishes supplied by others. Record the item code, drawing revision, physical interface and parties involved. Identify who provides dimensions, who designs a connection, who supplies each component and who performs or accepts the work. Do not assign an engineering responsibility merely because a furniture supplier coordinates the discussion.
Treat verified dimensions and assumed dimensions as different inputs. The review needs the relevant room or opening measurements, furniture envelope, proposed fixing locations and any required service access. Where a substrate, electrical supply, appliance requirement or installation tolerance is unknown, name the responsible technical party and preserve the gap. A furniture layout is not a site survey or an MEP design. A supplier drawing can support coordination without replacing the approvals required by the appointed designer, engineer or local authority.
Keep supply, installation and acceptance boundaries visible in both the quotation and the handoff. One party may supply a furniture item while another prepares the wall, installs specialist hardware or verifies a service connection. Record exclusions and dependencies against the affected line, rather than calling the whole package turnkey. Changes to an interface require their own scoped review. A delivery signature does not establish that fixing, commissioning or technical acceptance has been completed, and an unassigned task must not disappear between otherwise complete-looking supplier offers.
Process
Review sequence and decision handoffs
-
Identify each physical interface between the furniture and the site or specialist equipment
-
Confirm which dimensions and substrate or service inputs are actually verified
-
Name the parties responsible for design, supply, installation and acceptance
-
Reconcile supplier exclusions and dependencies before treating scope as complete
-
Retain actual acceptance and change decisions separately from delivery receipt
Delivery context
What supports the work
The evidence for this resource is a reviewable project record, not a claim of an actual completed project. Retain the applicable reference, observation, open question, responsible reviewer and scoped decision so another person can understand what was reviewed and what was not.
- Identify affected items and references instead of relying on an overall status label
- Separate an editorial method from actual project observations and accepted obligations
- Keep missing evidence and the authority for the next decision visible
Pricing inputs
What MWL needs before a reliable proposal
- What sets the price
- Any quotation depends on the actual item and quantity scope, specification, destination responsibilities and accepted commercial basis. This guide supplies no price, percentage or fixed lead time.
- If the brief is still partial
- Record whether review, sampling, specialist work, storage or installation is expressly included, excluded or unquoted. Unassigned responsibilities and missing rates must not become implied commitments.
FAQ
Procurement FAQ
Does loose furniture always require no site coordination?expand_more
No. Review the actual furniture use, position and proposed interfaces. A nominally loose item may interact with circulation, services, restraints or adjacent fixed work. The appointed technical team determines what review is required for the project. Do not infer fixing suitability, accessibility or a safe arrangement solely from the label loose furniture or a browser layout.
Who owns the fixing design for a built-in cabinet?expand_more
The responsibility must be named in the actual appointment and written scope. Record the substrate, relevant dimensions, connection requirements and the party authorized to design or approve them. A furniture supplier may provide product information within its agreed role, but that coordination does not automatically transfer structural design or site verification responsibility to the supplier.
How should lighting or appliance interfaces enter the BOQ?expand_more
Link the equipment reference and its interface requirements to the affected furniture line. Identify who supplies the equipment, prepares services, confirms technical requirements, installs components and accepts the completed scope. Keep missing dimensions, service information, access and commercial exclusions explicit. A cabinetry or furniture price alone does not demonstrate that every related trade has been included.
What happens if the opening or service position changes after approval?expand_more
Retain the prior drawing and identify the affected item and interface. Request the revised verified information and scoped review by the relevant design, supplier and site parties. Record any specification, quantity, cost or sequence impact before an authorized decision updates the baseline. A new measurement or site message does not amend an order automatically.
